Using Agiloft for Gmail

The Agiloft for Gmail app allows users to perform the following functions in Gmail:

  • Send contract information via new email
  • Send contract information via reply email
  • Save emails to a record's communication history

Logging In

Follow these steps to log in for the first time:

  1. Open Gmail.
  2. Click the Agiloft for Gmail app from the right-hand side of the ribbon. If you don't see it, you may have to expand the bar near the bottom to make the app visible.
  3. If you see Authorize Access, click it. If not, continue to step 6.
  4. Choose the Gmail account you intend to use with the app.
  5. Click Continue.
  6. Open your KB in a new window.
  7. Copy the URL from https:// to .com only.
  8. In the Gmail app, paste the URL in the Server URL field. Make sure there are no spaces trailing your Server URL.
  9. In your KB, copy the KB name from the top right-hand side, just to the left of the Help icon.
  10. In the app, paste the name in the KB Name field.
  11. Click Save Settings.
  12. Click Login.
  13. A window opens. Input your KB credentials and click Submit.
  14. When you see a green message saying your login was successful, close the window.
  15. Back in the app, click Edit.
  16. Select a table you would like to work with. These choices are determined when configuring the app.
  17. Click Done.

Sending Contract Information via New Email

You can alternatively send contract information using the steps below.

  1. With the Gmail inbox open, use the app in Gmail to open a Contract record.
  2. Choose any attachments you'd like to include.
  3. Click + New Email. This creates a new draft email, a hotlink in the email body, and a file in Google Drive.
  4. Compose the rest of the email as usual and click Send.

Sending Contract Information via Reply

To attach contract information to a reply email:

  1. Open an email chain.
  2. Select the attachments that you'd like to send.
  3. Click Reply To Email. This creates a new draft email, a hotlink in the email body, and a file in Google Drive.
  4. Compose the rest of the email as usual and click Send.

Saving Emails to Communication History

To save an email to the Email Communication History of a record:

  1. Open an email.
  2. Click Save To Agiloft.
