Configure Group Permissions for Sending Emails
There are two email actions you can grant permission for:
- Sending emails from Agiloft
- Creating, editing, or sending email templates for a specific table
This article describes how to grant permission for these actions to a given group.
Grant Email Permissions
Follow the steps below to grant groups permission to take email actions.
Grant Permission to Send Emails
First, grant permission to create emails in the Communications table. This makes it possible for users to create communication records.
To give a group permission to create emails:
- Click the Setup gear in the top-right corner, go to Access > Manage Groups, and edit the group.
- On the Tables tab, open the Communications table and navigate to the Record Permissions tab.
- Select the Send Emails checkbox.
Next, grant permission to send emails from individual tables. This gives user access to the email icon and Send Email option.
Complete these steps for each table you want the group to send emails from:
- Go to Setup > Access > Manage Groups and select the group.
- On the Tables tab, open the desired table and navigate to the Menu Permissions tab.
- Select the Send Emails checkbox.
You can also give a group this ability from the Outbound Email wizard by selecting the group on the From Options tab. If you add a group this way, make sure to hold Ctrl when selecting additional groups so that you don't deselect other groups in the process. If users have trouble sending emails after you check the settings mentioned above, check the From Options tab to make sure their group is selected.
If you add or remove a group in either location, the other location is updated to reflect the change.
Send, Create, and Edit Email Templates
To give a group permission to create, edit, or send email templates for a specific table:
- Go to Setup > Access > Manage Groups and select the desired group.
- On the Tables tab, open the desired table and navigate to the Menu Permissions tab.
- Select an option in each of the following sections:
- Allow creating/editing/deleting of Email Templates?
- Allow to View and Send Email Templates?
- Allow group to publish Email templates
Permission Interactions
These permission options work together to determine what users see within your system. Groups must at least have permission to send emails in Agiloft to see email options, and the table below outlines what else users see depending on the other permissions they have.
